Partner terms

These terms apply to a business or professional that uses OnFika to publish a profile, manage appointments, accept bookings or use business tools.

1. Agreement and key terms

By creating a partner account, accepting these terms, ordering a plan or using OnFika business tools, you confirm that you are authorised to act for the business and agree to this agreement. “Partner”, “business” and “you” mean the organisation or professional using OnFika. “We”, “us” and “OnFika” mean the service and team operating the OnFika platform.

The OnFika platform may include the public marketplace, business software, booking pages, embedded booking links, payment tools, messaging, reports, client records and other features made available for your plan or country. Feature availability, limits and fees are shown in the applicable plan, order or account experience.

2. What OnFika provides

OnFika provides technology that helps you manage calendars, staff, locations, services, availability, clients, communication, payments, reports and public discovery. We may add, change or remove features when reasonably necessary to improve the service, protect users, meet legal requirements or respond to changes in technology or payment networks.

We may enable configurable features by default. You can adjust them through your account where the controls are available. A change to plan fees, transaction fees or another charge will follow the pricing notice or order process that applies to your account.

3. Account, licence and security

Subject to this agreement, OnFika gives you a limited, non-exclusive, non-transferable right to use the business tools during your subscription or other authorised period for your internal business operations. You must not resell, sublicense, copy, reverse engineer or use the service to build a competing product unless we agree in writing.

  • Keep your business registration, contact, bank, tax and location information accurate where requested.
  • Invite only authorised users and give each person the least access they need.
  • Use individual credentials, keep passwords and one-time codes confidential, and remove access promptly when someone leaves or changes role.
  • Tell us promptly about suspected unauthorised access, data loss, fraud or security incidents.

4. Public profile and partner content

You may publish your business name, description, services, prices, availability, locations, opening hours, photos, team details, policies, reviews and booking links. You are responsible for ensuring that this content is accurate, complete, current and not misleading, and that it reflects the service you will provide.

You grant OnFika permission to host, reproduce, format, display and promote public profile content through the OnFika marketplace, booking pages, partner links, search, social channels, advertising and service communications. We may work with technology, marketing and distribution partners to make profiles and booking links easier to discover.

Before uploading an image, video, name or other content that identifies a client, employee, contractor or other person, obtain and retain the permissions required by law. If permission is withdrawn, remove the content promptly and tell OnFika if it is still displayed through a OnFika channel.

5. Booking services and fulfilment

You may choose which services, products, professionals and locations to make available. You are responsible for keeping calendars, availability, prices, durations, resources, staff schedules, cancellation periods and no-show policies up to date.

You must honour confirmed bookings and provide the service described at the price and on the business terms shown when the client booked. Do not add fees or change material terms after confirmation unless the client agrees or the law permits the change. Decline or cancel only for a genuine operational, safety, legal or exceptional reason, and communicate promptly with the client.

OnFika provides the booking technology and may send the client a confirmation on your behalf. You remain responsible for the service, premises, staff, professional standards, health and safety, tax obligations, refunds and complaints.

6. Client data and data protection

You decide what client information you collect for your business and must have a lawful basis to collect, use and share it. Give clients any privacy information required by law, collect only what is necessary, keep it accurate, respond to data rights requests and use appropriate safeguards.

Depending on the activity, OnFika may process client data on your instructions to host records, send booking messages, provide reports and operate the business tools, or may act as an independent controller for platform security, support, analytics and product improvement. Additional data processing terms may apply where required.

Do not enter a phone number or email address into a client record unless you reasonably believe it belongs to that client. If OnFika offers account matching or connected records, cooperate with corrections, detach a record linked to the wrong person and do not use a connection to charge a client without the authorisation required for that transaction.

7. Client communications and marketing

When you enable confirmations, reminders, follow-ups or campaigns, you instruct OnFika to send messages to the contacts and channels you select. You must have permission to use those details, comply with applicable marketing and messaging law, identify promotional messages and provide an opt-out where required.

Delivery depends on email, SMS, WhatsApp, mobile networks and other providers. OnFika does not guarantee delivery or timing and may pause messaging that appears abusive, unlawful, spam-like or unsafe.

8. Payments, fees and payouts

Depending on your location and plan, OnFika may support mobile money, cards, cash records, deposits, online payments, payment links or other methods. Payment services may be provided by a third-party processor and may require verification or acceptance of additional processor terms.

You are responsible for prices, taxes, tips, deposits, cancellation charges, refunds, payment policies and the accuracy of payout details. A client who pays through an enabled OnFika payment flow should not be charged again for the same amount. Cash or other pay-in-store bookings remain your responsibility to collect and reconcile.

Subscription fees, booking fees, transaction fees, hardware charges or other applicable service fees are shown in your plan, order confirmation or account. We may change fees with the notice required by applicable law or your order terms. We may delay or hold a payout where needed to resolve a payment dispute, verify account ownership, investigate fraud or comply with law, a payment provider or a card scheme.

9. Reviews, complaints and professional conduct

Clients may leave public reviews about their experience. You must not create reviews for your own business, ask for misleading reviews, offer an improper reward for a particular rating, review another business inaccurately or manipulate the review system. You may respond professionally and may report content you reasonably believe is unlawful or infringes rights.

You are responsible for handling service complaints and responding promptly. OnFika may forward a complaint to you and ask for an update. Communicate with clients and OnFika staff politely; abusive, threatening, discriminatory, harassing or repeated vexatious conduct may lead to restricted support channels, suspension or termination.

10. Vouchers, promotions and products

If enabled, you may issue vouchers, packages, gift credits or promotional codes. You are responsible for the validity period, restrictions, pricing, redemption, taxes, client disclosures, refunds and compliance with local law. You must honour a voucher or promotion according to the terms displayed when it was issued, unless a lawful exception applies.

Product descriptions, stock, delivery, returns and refunds are your responsibility. Keep product information accurate and do not offer a product that is unavailable, unsafe or not authorised for sale in your location.

11. Optional services and third parties

OnFika may offer optional onboarding, training, data migration, photography, integrations, messaging, hardware or other professional services. Any scope, delivery date, fee and acceptance terms will be provided in the relevant order or statement of work. Third-party services, including payment, messaging, analytics, hosting and mapping providers, may have their own terms and availability.

12. Suspension and termination

You may stop using OnFika or cancel a plan according to the cancellation process that applies to your account. OnFika may suspend or terminate access for non-payment, breach, security risk, unlawful activity, harmful conduct, payment-provider requirements or where continued operation is no longer practical.

Where practical, we will provide notice and an opportunity to resolve a breach. After termination, your permission to use the service ends. You remain responsible for confirmed appointments, client communications, fees, refunds, data obligations and other commitments that arose before termination.

13. Confidentiality and intellectual property

Each party must protect non-public information received from the other and use it only to perform or receive the service, except where disclosure is required by law or the information is already public. OnFika owns the platform, software, documentation, designs, trademarks and improvements. You own or control your business content and grant OnFika the licences needed to operate and promote the service under these terms.

14. Warranties and liability

OnFika will use reasonable care and skill in providing the service, but it may be unavailable for maintenance, outages, security events or causes outside our reasonable control. We do not guarantee that the service will be uninterrupted, error-free or suitable for every business requirement.

To the extent permitted by law, OnFika is not liable for indirect, special or consequential loss, lost profits, lost business, loss caused by a client or third-party provider, or events outside our reasonable control. The business is responsible for claims arising from its services, content, staff, premises, client instructions or breach of this agreement. Nothing limits liability that cannot legally be limited.
